Workflow Process

Iron Mountain provides a full range of destruction services to accommodate our Customer's various needs and geographic locations. Below is an overview of each service type and the associated workflow process.

Onsite Shredding

Onsite Shredding

With Iron Mountain's Onsite shredding workflow process, all material is collected and destroyed at the Customer's Location utilizing a Mobile Shredding Unit.

In some of the less populated geographic locations, Iron Mountain customers are serviced by an Iron Mountain-certified subcontractor. A listing of Iron Mountain's geographic service areas and subcontractor serviced areas is available if contractually allowable upon request.

The monthly invoice will be delivered after the materials have entered the shredding workflow process. A Certificate of Destruction is provided to the Customer as part of their monthly invoice and is also available for the Customer to download on Iron Mountain ConnectTM.

Offsite Shredding

Offsite Shredding

With Iron Mountain's Offsite shredding workflow process, all material is collected at the Customer's Location and transported to an approved Shredding Plant or other designated Consolidation Center and subsequently transported to an approved Shredding Plant. Depending on the location of the Consolidation Center, the proximity of the Shredding Plant, and the volume of material moving through the workflow process to be shredded, collected material may be securely stored at an Iron Mountain Consolidation Center location prior to being transported to the Shredding Plant for final disposition.

Iron Mountain Customers are serviced directly by Iron Mountain or by an Iron Mountain-certified subcontractor. A listing of Iron Mountain's geographic service areas and subcontractor service areas is available if contractually allowable on request.

The monthly invoice will be delivered after the materials have entered the shredding workflow process. A Certificate of Destruction is provided to the Customer as part of their monthly invoice or is available for the Customer to download on Iron Mountain ConnectTM.

Archival Destruction

Archival Destruction

With Iron Mountain's Records Management Archival Destruction workflow process, we utilize multiple checks and balances to make sure that only authorized Deposits are destroyed. Destruction only proceeds after careful review and approval by the Customer's Authorized User. All authorized material is double-scan confirmed at the Iron Mountain Record Center and staged in black shrink wrap with shred tape for transportation to an approved Shredding Plant.

Depending on the location of the Iron Mountain Record Center, the proximity of the Shredding Plant, and the volume of material moving through the workflow process to be shredded, collected material may be securely stored prior to being transported to the Shredding Plant for final disposition.

Secure Media Destruction

Iron Mountain has enhanced its information destruction expertise and workflows to include the project-based secure destruction of non-paper based media. This process combines proprietary workflow steps with managed vendor partnerships, ongoing due diligence and compliance reviews. The Secure Media Destruction service is currently available to our customers on a project basis.

Secure Media Destruction

Below is an overview of the terminology and workflow steps of Iron Mountain's Secure Media Destruction program.

Approved Materials - Films, Micrographics, Magnetic Media and X-Ray.

Media Consolidation Center - An Iron Mountain secure facility that has been selected to handle the consolidation and preparation for transport of Approved Materials to a Media Destruction Plant.

Media Destruction Plant - An approved destruction vendor's facility that has been selected by Iron Mountain to perform secure media destruction. Selected vendors are regularly examined through Iron Mountain's vendor due diligence process.

Transportation Vendor - A logistics or transportation vendor that has been selected by Iron Mountain to perform the secure dedicated transport of Approved Materials from a Media Consolidation Center to a Media Destruction Plant.

Unacceptable Materials - Medical waste and other hazardous materials. All other media types and formats not listed above must be submitted separately for approval.

Step 1: Consolidate & Prepare for Transport

  • Approved Materials are collected from a customer location or from Iron Mountain facilities, consolidated and securely transported to a designated Media Consolidation Center.
  • Upon arrival at the Iron Mountain Media Consolidation Center, a record of the bulk contents is entered into the Iron Mountain inventory and tracking system.
  • The recorded bulk media materials are palletized, tagged and securely staged for transport to a Media Destruction Plant.

Step 2: Dedicated Transport

  • Tagged pallets are shrink-wrapped, then loaded onto a dedicated transport vehicle for secure transportation by Iron Mountain's Transportation Vendor.
  • A uniquely numbered trailer seal is affixed to the locked trailer and documented for tracking.
  • The Transportation Vendor transports sealed and locked trailer load on a dedicated Iron Mountain shipping route to a Media Destruction Plant.

Step 3: Secure Media Destruction

  • Trailer load receipt is quality control confirmed through shipment trailer seal and pallet label verification upon arrival at the Media Destruction Plant.
  • The media materials are then immediately destroyed rendering the material to an unreadable and non-recoverable final form.
  • Iron Mountain provides certification of destruction to customers delivered via the monthly billing invoice process.

Iron Mountain's approved Secure Media Destruction vendor relationships undergo on-going due diligence and compliance reviews. Iron Mountain will continue to add or modify vendor relationships where appropriate to enhance or improve service to our customers. A list of Iron Mountain's approved vendors is available upon request.
